How it works
From the morning sick call to a plan everyone can read
Kima does one thing: the staffing plan for the day. Here is what that looks like, step by step, and what Kima deliberately does not do.
-
1
Set up your Kita once
Enter your groups and opening hours, the staff with their working hours and the children with their attendance times. For a typical Kita this takes an hour or two, and it stays on your device: nothing is uploaded, no account is created.
-
2
Enter the day
Each morning you note what is different today: who is sick, who is on holiday or at a training, which child comes late or is picked up early. A minute, usually.
-
3
Read the plan
Kima shows every group across the hours of the day with the children present, the staff on duty and the resulting ratio. Green means fine, amber exactly enough, red short. You see at once where the morning gets tight.
-
4
Act on the recommendations
For every tight hour Kima proposes concrete steps: move a colleague to another group for two hours, let a few children join the neighbouring group, or ask a family whether their child can stay home today. Kima shows what each step changes. You decide; nothing happens on its own.

Keep your data where it is
Kima is a local-first web app. Your planning data lives in your browser on your device and can be encrypted locally with a password. You can export a backup file and import it on another device. The only thing Kima sends to our server is the daily license check, which carries just the license id.
What Kima is not
Honest limits, so you know what you get.
- Not a documentation or parent-communication tool. Kima does not replace your Kita software; it answers one question: how does today work out?
- Not a duty roster for the whole month. Kima plans the day in front of you, with the roster you already have.
- Not a legal guarantee. The ratios you set are yours; Kima calculates with them and does not know your federal state's rules on its own.
- Not an app with your data in our cloud. That means: no sharing between devices through us, and a lost device without a backup means lost data.
What leaves your device
Short answer: almost nothing.
| What | Where it goes |
|---|---|
| Children, staff, groups, attendance, the day plan | Stays in your browser on your device. Never sent to us. |
| Daily license check | Once a day the app asks our license server whether your key is still valid. It sends the license id only, no Kita data. |
| Buying a license | Your name, e-mail address and the name of the Kita, so we can issue and mail the key. Payment data stays with the payment provider. |
